Restructure. Align. Compound.

A partnership that cut wasted ad spend and nearly doubled demo requests.

About CareerArc

CareerArc is an HR tech company helping employers attract and engage talent through social recruiting. After rebranding and relaunching its flagship product, CareerArc's lean marketing team needed to ramp up inbound demand quickly, without the in-house resources to do it at the speed the business wanted. CareerArc needed a partner that could prove value fast, fix the paid media and CRM foundations underneath demand, and build growth that compounds.

BEFORE

Before Refine Labs: A Product Relaunch Without the Demand Engine to Match

CareerArc had just relaunched its flagship product and needed more inbound volume behind it. The team understood demand creation and demand capture, but paid media wasn't built to execute on either one.

"We have a really lean team," said Christina Cunningham, Director of Marketing at CareerArc. "We were looking for ways to pretty rapidly ramp up our demand gen, and we didn't necessarily have all the resources in house to be able to do it as fast as we wanted to."

Visibility was the other gap. Marketing and sales talked regularly, but the CRM couldn't connect a demo request to a held meeting or an opportunity, or tie either back to a channel.

"I had this big Excel sheet, and it would take me hours to update every single month to see where all that was coming from," said Cunningham.

The Partnership: Prove It Fast, Then Build to Compound

Christina had followed Refine Labs for years and attended its live sessions. When CareerArc’s CEO approved budget for an agency, she called it a no brainer. The harder part was getting buy-in for demand generation on a fast timeline.

“Results compound over time, which is a little bit harder of a sell when we’re looking to do something pretty quickly,” said Cunningham. “With that engagement, it was easier for me to get buy-in. We got proof of concept.”

A six-week initial engagement confirmed the fit and produced a quarter-by-quarter roadmap, so the full engagement started with a plan rather than a ramp-up period. Refine Labs focused first on top of funnel while the CRM was being rebuilt, and quickly found the biggest leak.

“We realized pretty quickly that our target audience was just way too big,” said Cunningham. “We were spending our ad dollars, but we weren’t really spending them efficiently.”

Together, CareerArc and Refine Labs focused on seven core motions:

  • Paid Media Restructure: Narrowing the paid social audience to reach buyers with real frequency, cutting paid search overspend, and acquiring Primer. Primer allowed paid social to become a top channel, one CareerArc had not seen much success on before, while keeping targeting tight on a cost-efficient CPM platform.
  • Creative Strategy: Bolder, more memorable messaging built to stick with buyers until they’re ready
  • Marketing Operations: Rebuilding HubSpot so marketing and sales properties align and pipeline is traceable by channel
  • Sales Process Alignment: Working with CareerArc’s sales team to audit the inbound sales process. Refine Labs added automated calendar booking, a key driver of the down funnel conversion rate increase, and audited playbooks, sales process, automated workflows and deal reporting to optimize the buyer stage cycle. The team also met with sales directly to support formalizing SLAs that increase prospect engagement.
  • Custom ROI Calculator: Building CareerArc a custom-coded ROI calculator showing reach, results, savings and ROI. It became CareerArc’s #1 inbound-producing asset, and the entire workflow was integrated with HubSpot so the sales team could use it immediately.
  • Outbound Expansion: Using RB2B to develop an automated outreach program from SDRs through an AI sequencing platform to expand reach
  • Beyond Paid Media: Collaboration on website CRO, content, and CareerArc’s free trial launch

Once top of funnel was producing, the work moved down funnel and into sales, where calendar booking and the ROI calculator turned more of that new demand into pipeline.

“The expertise that the team has in ad platforms and what levers to pull is unparalleled to anything I’ve ever seen in an agency,” said Cunningham. “They really were an extension of our team. It felt like nothing was ever off limits to talk about, even if it wasn’t necessarily something that was in our contract.”

the RESULTS

The Results:

Our partnership helped CareerArc build a demand engine that compounds, then turned that engine into qualified pipeline:

  • Paid social became a demand driver: Website traffic from paid social grew more than 1,800%, and engagement rate from those visitors rose 50%. More buyers now name paid social on self-reported attribution forms, raising their hands without outbound.
  • Spent less, converted more: Paid search spend dropped 58% while paid search conversions rose 108% and cost per conversion fell 79%.
  • Full service paid off in the first quarter: Qualified inbound demo requests rose 43% quarter over quarter from Q3 2025, before CareerArc went full service with Refine Labs, to Q4 2025, after.
  • Results compounded into pipeline: From Q1 2026 to Q2 2026, qualified inbound demo requests grew 92% quarter over quarter, and the conversion rate of booked demos to opportunities rose 44%.
  • Growth that held through disruption: Qualified inbound demo requests were up 109% year over year from Q2 2025 to Q2 2026. Across H1 2025 to H1 2026, they grew 25% while CareerArc was changing its website and deploying a new CRM.
  • Full-funnel visibility: A rebuilt HubSpot instance replaced a manual monthly spreadsheet, showing which channels produce demos, which demos become opportunities, and where positioning needs to evolve.

This was more than paid media execution. It was a lean team getting senior strategy, a clear roadmap, and proof early enough to keep investing.

“What I really appreciated was the team was always willing to extend a hand beyond just paid media,” said Cunningham.

”

"If you haven't found repeatability with your inbound motion and you're trying to figure it out fast, then I would work with Refine Labs."
